Position Title: Front Desk Scheduling Coordinator
Employment Type: Full-Time | Non-Exempt
Hours: 31-32 Hours per Week 
Reports To: Dr. Volovic

Position Overview

Volovic Orthodontics is seeking a professional, organized, and personable Front Desk Scheduling Coordinator to serve as the first point of contact for our patients and families. This role is responsible for managing the practice schedule, coordinating patient flow, and ensuring a welcoming and efficient front office experience. The ideal candidate is friendly, detail-oriented, and able to multitask in a fast-paced orthodontic practice.

Key Responsibilities

  • Greet patients and families and provide a welcoming office experience

  • Answer incoming phone calls and respond to patient inquiries

  • Schedule and manage patient appointments according to office templates and production goals

  • Coordinate daily patient flow and communicate schedule updates with the clinical team

  • Handle new patient calls and enter information into the practice management system

  • Send welcome emails and appointment confirmations via phone, text, or email

  • Collect and post patient payments and assist with daily financial reporting

  • Maintain accurate patient records and update information in charts

  • Maintain front office and reception area organization and cleanliness

  • Assist with office marketing initiatives and patient engagement activities

  • Support the clinical team when needed to maintain smooth office operations

  • Previous dental or orthodontic office experience preferred, but willingness to learn is welcomed

Physical Requirements

This position requires the ability to work in a fast-paced clinical environment, including extended periods of sitting or standing, strong attention to detail, and good manual dexterity, vision, and hearing.
